If you’re planning an event, then you need to get organised. And what better what to stay on top of your ever growing to-do list than with Evernote. Think of Evernote as your homebase. It keeps track of your notes, tasks, images (and more) across all your devices. Whether you’re at your desk or on the go, you’ll always be on top of what’s going on.
Evernote makes sharing with co-workers, suppliers and others easy — and can be done right from your phone. The Evernote Scannable app even allows you to scan receipts, documents and business cards right from your phone.
Price: Evernote’s basic functionalities are completely free, though you can add email integration, 1GB of cloud storage and offline capabilities for $49.99 USD a year or 10 GB with enhanced integrations, search and annotations for $89.99. In short – Evernote is seriously awesome.
You may have realised how much work goes into running an event. Especially when it means making the event accessible to all attendees, wherever they live. Sometimes, not everyone can make it, so setting up a live stream and sending the recording to everyone afterwards will be appreciated. Your attendees will be able to revisit their favorite speaker whenever they want.
We recommend Livestream. Filming, production, and even monitoring your audience’s engagement, this platform offers an end-to-end solution for event planners looking to take their event to anyone, anywhere in the world.
Price: With a basic package at $42 USD per month, it’s affordable for anyone finding their feet. If you’re a little more established, then you should try the premium and enterprise plans at $199 and $799 respectively. If your event needs for live streaming are high on the priority list, and you’ve got the budget to spare, there’s a custom option starting at $1,199 per month.
Nasa uses this app as their preferred communications tool (y’know, the guys who sent that robot to Mars), so it’s probably worth checking out. With Slack, you can set up chat’s for projects, drag-and-drop files into communication channels, and even let’s you send GIF’s (if that’s your way of doing things).
Slack’s mobile app let’s you take the conversation anywhere, allowing you to reach your team of volunteers and workers on the day of the event, whenever you need them. Set reminders, share instructions and answer any questions that get thrown your way — Slack let’s you manage your event comms easily.
Price: Slack’s basic functions are free with further integrations, guest accounts, and priority support being unlocked at a monthly per-user cost of $6.67.
Eventbrite is the event planner’s go-to for event registration and ticketing, and for good reason.
You can set-up landing pages, track them with real-time analytics, and even set up multiple ticket types if that’s what you need.
On the day of the event, the Eventbrite Organizer app lets you scan QR codes and tickets from attendees’ phones for a smooth check-in. And if you need to ramp up your email comms, the service even integrates with tools like Mailchimp.
Price: Given most corporate events are free to attend for employees and staff members, Eventbrite won’t cost a cent, but if you are interested in selling tickets, Eventbrite charges a 2.5% fee per ticket sold, as well as a 2% payment processing fee for credit cards.
If you need design work quickly, but don’t consider yourself the Vincent Van Goh of Photoshop, then Canva will be your saviour.
The site offers a plethora of templates for social posts, infographics, and presentations. Along with ready-for-use images, you can upload your own assets, logos and photographs to make sure your branding stays within your guidelines.
Price: It’s free to use and comes with a set of starter templates, however some of the more elaborate templates come at a small, per-item cost (usually $1 USD).
6. Microsoft Powerpoint
There’s an abundance of apps to create engaging presentations. But few of them can even dream of comparing to Powerpoint. The versatility, collaborative capabilities (in Office 365) and ease-of-use makes Powerpoint ideal for creating beautiful and engaging presentations. With a tonne of styling options and features, it’s well suited for data-focused and informative presentations which can make any corporate event one to be proud of.
Price: Most organisations have access to the Office Suite or 365 subscription but if you need to purchase the suite, it’ll only set you back $100 USD per year.
If you have people flying across the world just to attend your event, then you may need a dedicated app designed to keep track of all your attendee. For this, you can use Attendify. Attendify is an online tool designed to make app-creation easy with drag-and-drop templates, easy upload of schedules from Excel, and a fast-track to going live in the app-store.
Apps created with Attendify can include built-in social networks, and work as a networking tool, allowing international teams to foster deeper connections before, on the event day and long after.
Price: A one-off solution will cost $999 USD, but if you’re regularly hosting and planning events, the multi-event package for $1999 USD per year may be of interest to you.
To ramp up your email communication in the lead up to an event, you need a service like Mailchimp.
Offering a series of email templates, automation workflows and full integration with Google Analytics (plus so much more) – Mailchimp provides all you need to engage your attendees before and after your event, and measure the interaction to see what’s working and what isn’t.
Price: It’s starts off free, but for $10 USD a month, you’ll be able to add in automation workflows, and other marketing tools. And for $199 USD a month, Mailchimp offers access to a whole host of marketing options, conversion testing and reporting.
We may be a little biased… but when it comes to audience engagement, Zeetings is just what you need to get attendees throwing their hands up in excitement.
